Board Member Positions and Responsibilities

  

President

  1. The president leads the board and oversees many of the board’s procedural duties. 
  2. Preside over meetings, making sure everyone gets a chance to voice their opinion and that all necessary topics are covered. 
  3. Schedule annual HOA meeting by identifying a specific date and time, and location.
  4. Review and sign contracts and other legal documents, on behalf of the HOA.
  5. Assist in finding vendors to handle routine maintenance.
  6. Work with board to approve all invoices from vendors, that are not part of the budgeted items.
  7. Review and approve the final annual budget.
  8. Assist in resolving home owner issues, by working with the Community Manager.
  9. Work closely with the property management company to address the goals and needs of the community.
  10. Work with the board in identify annual projects that need to be completed.
  11. Ensure that annual projects and maintenance are completed.


Vice President

  1. Responsible for stepping in for the President when the president is not available. 
  2. In doing so, the Vice President must also be very familiar with all governing documents.
  3. Be prepared to run meetings, and take on any other responsibilities in the absence of the President.
  4. Act as an advisor, may lead one of the committees, and other tasks as assigned.


Secretary

  1. Take and transcribe minutes for all meetings (HOA and board members). 
  2. Maintain good record keeping of minutes, meeting agendas, maintenance records, and supporting documents.
  3. Prepare meeting notices and work with the President on drafting the meeting agendas.
  4. Ensure such records are easily accessible by homeowners of record in good standing (some limitations may apply).
  5. Ensure the HOA is meeting filing deadlines and other legal record requirements.

     

Treasurer

  1. Oversees the finances of the HOA
  2. Assist the community manager and President in preparing the annual budget
  3. Review monthly transactions of the association to ensure accuracy of all transactions
  4. Work closely with the auditor in the event of an audit.
